Coffee catering cost per person Canada
The honest answer to coffee catering cost per person in Canada. Expect to pay $8 to $11 per guest for a mobile espresso bar with real baristas and no hidden fees.

In Canada, a mobile espresso bar runs $8.00 to $11.00 per person. The average catering cost sits right in that band. The final price depends on your menu, guest count, and travel distance.
Quotes vary because most companies hide fees and demand mandatory tipping. We charge a flat rate. This is the breakdown of what coffee catering actually costs.
syfr coffee serves Toronto and the GTA. We built our name on zero fluff, zero hidden fees, and zero nonsense. You get an excellent cup without the guesswork.
What drives the coffee catering cost per person?
The menu changes the price. Standard drip coffee is cheap to produce. A custom espresso bar with oat milk, decaf, and specialty drinks takes more gear, skill, and time.
Staffing is another factor. You pay a trained barista to show up, set up a mobile coffee cart, and serve drinks quickly. Good labor costs a bit more.
Volume changes the math. Serving 50 people takes the same driving and setup time as serving 200. Spreading that fixed cost over more guests lowers the per person price.
Location also matters. We charge a flat $75 travel fee for events outside the downtown core. You know the travel cost before we hit the highway.
Coffee catering cost by event size
We price by the guest. You multiply your headcount by the tier you want. We offer three tiers for our coffee cart toronto service.
Here is our actual pricing structure.
| Service Tier | Cost Per Guest | Minimum Event Size |
|---|---|---|
| Standard Espresso Bar | $8.00/guest | 200 guests ($1,600 flat) |
| Premium Coffee Bar | $9.00/guest | 200 guests |
| Signature Custom Menu | $11.00/guest | 200 guests |
For big crowds, the price drops. We take 15 percent off the total bill for events with 500 or more guests. We take 25 percent off for events with 1,000 or more guests.
This is how corporate event espresso bar planning works. You lock in the base rate and apply the discount.
What is included in the mobile coffee cart rental?
You get a complete setup. There is no need to rent tables, buy cups, or source power.
Every booking includes the physical cart, the espresso machine, the grinders, and the water system. We bring the cups, the lids, the sleeves, and the napkins. We bring the coffee, the milk, and the syrups.
We also bring the people. A trained barista staffs the bar for the duration of the service window. They grind, tamp, extract, steam, and pour. They clean up the area when service ends.
One mobile espresso bar serves up to 70 drinks per hour. We can add a second barista to keep lines short for massive rushes.

How do you budget for event coffee service?
Start with your guest count and multiply by our $8.00 base rate. For a 200 person wedding, the base is $1,600. If you want specialty matcha or a specific brand of oat milk, move up to the $9.00 or $11.00 tier.
Add your $150 flat deposit to secure the date. This comes out of your final total. It is not an extra fee.
Check your location. If you are outside the city, add the flat $75 travel fee.
Look at your timeline. If 200 people need coffee in exactly one hour, one bar is not enough. Budget for a second bar. If they have two hours to drink, one bar is fine.
How many staff is enough? Our guide to how many baristas for 200 guests breaks down the throughput math by service window, so the staffing line in your budget is a number, not a guess.

What the price does NOT include
People assume catering quotes include everything. We still have limits on what we provide.
Our pricing does not include a formal sit down table service. This is a cart. People walk up, order, grab their cup, and walk away.
We do not serve food. No pastries, no cakes, no sandwiches. We focus entirely on liquid fuel. The venue or a separate vendor handles the food.
We do not guarantee service without adequate shelter or power. If it rains, we need a tent or a covered area. If the venue lacks standard power, we need a generator. We do not supply the generator or the tent.
We do not do complex theatrical latte art demonstrations. We pour fast, high quality drinks for crowds.
We do not include a space for a tip jar. We pay our staff well. We charge a flat rate that covers their time. You will never see a gratuity line added to your final invoice.
